How to write an Authorization Letter? Download this simple letter including the following elements:

Date: Place the date at the top of the authorization letter. Ensure this date is within a couple of days from the date of collection.

Recipient Information: Begin this section below the date. Use the formal name and title of the person, if possible. Include the formal company name and the exact, relevant address.

Subject: Clearly state the purpose, such as ‘Authorization to claim money on behalf’ or ‘Authorization letter to claim money’.

Salutation: Use a simple salutation like “Dear Sir NAME” or “Dear Madam NAME.” If an individual name or title is unavailable, use “To Whom It May Concern.”

Reason: Explain why you are unable to collect the money yourself and the preferred method of collection.

Beneficiary Information: Clearly state the payee’s name and address, preferably at the beginning of the letter. Use the beneficiary’s formal or passport name, avoiding nicknames.

Authorization Amount and Currency: In the first sentence of the body, name the representative using the name on their primary ID or company ID, avoiding nicknames. State that the representative is authorized to claim the money for the payee. Provide at least two ways to identify the representative. Specify the amount and currency.

Period of Authorization: Specify the date or period during which the authorization applies.

Date of Collection: Indicate the preferred date for collecting the money.

Further Information: Include any additional instructions or information. Mention if the representative should show identification documents or present the payee’s ID. You may also request a phone call or email to the payee immediately after pick-up.

Contact Information: Provide the beneficiary’s contact details, such as an email address or phone number, for the recipient to use if needed.

Closing: Use a simple closing like “Thank you for your cooperation.”

Beneficiary Passport Name: Skip three or four lines to leave enough space for a signature, then type the payee’s name below the closing.

Signature: Sign the letter in blue or black ink.
