  1. Your Address (Sender's Address):
    • Your address is placed at the top-left corner of the page.

  2. Date:
    • Write the date on the next line, aligned with the left margin.
  3. Recipient's Address (Inside Address):
    • Include the recipient's name, title (if applicable), company or organization name, street address, city, state, and ZIP code.
    • Skip a line after the recipient's address.
  4. Salutation:
    • Begin the letter with a salutation, such as "Dear Mr./Ms. Last Name:".
    • Skip a line after the salutation.
  5. Body of the Letter:
    • Write the main content of the letter. Keep the text left-aligned or justified to the left.
    • Use paragraphs as needed. Skip a line between paragraphs.
  6. Closing:
    • Use a closing phrase, such as "Sincerely," or "Yours truly," followed by a comma.
    • Skip four lines to leave space for your signature.
  7. Signature:
    • Sign your name in the space between the closing and your typed name.

The most common layout of a professional business letter is known as Block Format (or ‘Full block’). It is the easiest format to use and simplest to set up in your word processing program.
