They can serve many purposes including making requests, providing information, answering questions, or defining formal agreements among different parties. Unlike personal letters that often tend to be informal, business letters are more structured and formalistic due to existing professional linkages between senders and recipients.

Creating a business letter requires that one adheres to formal structure and tone to communicate their message with precision and professionalism.  Below are guidelines for the composition of an effective business letter:
  1. Letterhead (Optional): In case you are utilizing company stationery, you should place the company’s name, address, phone number, email, and logo at the top of the letter.
  2. Your Contact Information: Assuming you are not utilizing letterhead then your name, address phone number, and email should be placed at the top left corner of your letter.
  3. Date: A few lines below your contact address include today’s date in the right-hand corner.
  4. Recipient’s Contact Information: A few lines below the date indicate the recipient’s full name plus title plus their business plus complete address.
  5. Salutation: The appropriate way to greet the recipient includes a formal salutation like “Dear Mr. Doe” or “Dear Ms. Smith” with a colon right after it while in case there is no knowledge regarding whom to address one can use “Dear Sir/Madam” or “To Whom It May Concern” with an attempt to know who exactly is being addressed if possible.
  6. Opening Paragraph: Specify the aim of your correspondence clearly and briefly.
  7. Body Paragraph(s): Include comprehensive details to support the aim of writing this letter. Maintain conciseness in paragraphs by discussing one subject at a time.
  8. Closing Paragraph: Reiterate the main idea, express any anticipations, and thank the addressee.
  9. Complimentary Close: Utilize formal endings such as “Sincerely,” “Best Wishes,” or “Yours Cordially” then add a comma signifying its end.
  10. Signature: If your printing letters leave some spaces for signs then type full names including her/his office title below it.
