In this case, we know you don't want to spend more time on the issue, but its good you act and complaint about the situation. A complaint hopefully increases the quality and service level of the organization that caused the issue. In every organizational, business or professional environment, problems and concerns are inevitable. In order to minimize, standardize and deal with these problems in a professional and formal manner, complaint letters are used. It is usually regarded as the last resort to solve a problem. If your observations or comments are detrimental to the organization as a whole, sending a complaint to the manager or management will work. Politics is never pleasant, and you should only file a formal complaint if you need to press for a significant change. An employee complaint letter is a letter written by an employee to complain about their dissatisfaction to the company. So in the first paragraph of the letter's body, you have to state the main purpose of the letter to let the readers know why you write this letter. Complaint Letter Format

6 parts of writing a complaint letter:

  • Heading. This includes the address, line by line, with the last line being the date;
    • Receiver contact, name and address details
  • Greeting. The greeting always ends with a comma;
    • To Whom It May Concern,
    • Dear Mr., Mrs.,
  • Introduction: Introduce the complaint in 1 sentence:
    • On {{date of the contract}}, I purchased {{rented or leased}} a {{product or service}} from you:
    • identifying numbers that might apply}}. model {{type number}}, at a price of {{give as much detail as possible – include model or other. 
  • Body. Also known as the main text;
    • The purchase agreement was made at your store located at {{give details about the location of the store, the person you dealt with and any particular or relevant representations made to you about the product, goods or services}}.
    • Describe the problem here.
    • Then state exactly what you want from the business.
    • I look forward to your immediate reply. You can contact me at my home telephone number at {{Conclusion: indicate that you are expecting an early response/resolution to/of your complaint and your emergency and/or other contact information.}}
  • Complimentary close;
    • Thanks and Regards,
    • Yours sincerely,
    • Yours truly,
    • Signature line. Sign the letter and send it by registered mail, fax or courier.
